Configuring Emergency Rolls

Setting up Emergency Roll types for each emergency situation so you are prepared should a crisis arise.

Boardingware's roll system has three main components; Emergency Rolls, Daily Rolls and Automatic Rolls. This guide will show you how to create an Emergency Roll type from the perspective of the school administrator. If you are looking for how to take rolls, please click here.


Emergency Rolls is a feature for communicating situations with staff, students, and/or parents and accounting for your students to ensure their safety. We've given you the ability to allow students to mark themselves as Safe/In Danger during a roll and for communication via email, push notification, in-app, and text messaging* to be sent out at the start and end of the roll.

Creating Emergency Rolls

First access School Management Menu. How?

In the School Management page, open the 'Manage Rolls' section. Then click on the new roll type button

At this point you will be greeted with the options of creating an Emergency Roll, Daily Roll, or Automatic Roll. Please choose Emergency Roll Check.

First name your roll, then choose from the below options:

Assignments
Choose who this roll apples to. Leave the toggle on if this will apply to all school, or toggle it off to choose a specific house for this roll.


Default Options
Choose which groups/houses would you like the roll to automatically use when you start it (if any). If you would like students be automatically signed in when marked as present, toggle that option on, and choose what location they should be signed in to.

Is this a Live Roll? (a live roll allows multiple staff members to work off the same roll). If so, set which staff should default to collaborate.

Permissions
Choose which staff can start the roll, invite other staff, or complete it.

Actions
You can customize the different codes available to you during the roll (Safe, In Danger), as well as which state the students will start in when the roll is started. You can also add new codes if applicable.


Alerts
This section provides you the option of adding a notification when the roll is started, when the roll is completed and also allows for students to mark themselves safe during the roll check.

If you choose to send alerts when a roll is initiated (and/or completed) you will see the following options for which groups you can direct the messaging to, and how that message is sent. By crafting your messaging here in the setup, it will be ready to go when a roll is started. 

Since messaging for Emergency procedures can vary, we recommend creating an emergency roll type for each specific emergency situation so the messaging reflects the appropriate procedure.

 
If you would like to have student indicate if they are safe or in danger, toggle that option on, and add in the appropriate verbiage. Be sure to choose the state the student will show as when marking themselves (do not leave that as unmarked).

Once all settings are chosen, scroll up and save at the top right. You will see your Emergency roll type on your 'Manage Roll' page and you will now be able to select this roll type from your daily care view.
